Things happen, events get missed. So, let’s figure out what we can do to set your events into a missed status.

Admin

To make use of the Missed Reasons feature on MainEvent, you have to set them up in the Admin section of the site first. So, our adventure begins by navigating to the Global Admin page. Click Admin in the navigation menu and select View.

You will now be looking at the Global Admin page for your site. This is the page where changes will impact the entire site operation, as opposed to on a per-client basis. This is where we’re going to do our work. On the left side of the page there is a menu. Under the Events header, select Missed Reasons. This will automatically take you to this section. You can also scroll and look, but clicking is faster.

The missed reasons section will list any missed reasons that have already been added. To add a new reason click the green Add Missed Reason button in the upper right of the box.

This will open the Missed Reason Details page. Here’s where you’ll add the name of the missed reason and you can set it to Active or Inactive status.

Once you’ve made all needed adjustments, click Save. You’ll be returned to the Global Admin page where you will see the new Missed Reason in the list.

You can add additional Missed Reasons by following the above steps. Click Edit to make any changes to the name or active status of any Missed Reasons. Click Delete to remove the Missed Reason completely.

Changing Event Statuses to Missed

From the Event Summary

If you’ve only got one event to move into a missed status, you can do that directly from the event summary page. At the top of the page, click the Set Missed Reason button.

This will open the Missed Reason popup. Select the appropriate missed reason from the select menu.

Once the reason is selected, click Save.

Your event will now be in Missed status.

You can revert back to the previous status by clicking the green Remove Missed Reason button.

Assign Missed Reasons Tool

Have several missed events that you need to assign a missed reason to? Want to save yourself the time of having to edit each event individually? We’ve got a tool for that.

The Client Assign Missed Reason tool can be used by administrators to quickly assign a missed reason to events under a parent program (client block). This tool allows you to bypass having to manually assign a missed reason to each event, and instead provides an excel template that can be filled out and then uploaded to update multiple events under a parent program at once.

In order to download the parent program Assign Missed Reason template you will need to follow the steps below.

Navigate to the Template Download

To start, you will want to click on the Global button on your navigation bar and select your client tile. Once in the client site, click on Tools and then Assign Missed Reason on the navigation bar.

Download the template

You will be brought to a page where you can download the template. Click Download Template and a pre-populated excel spreadsheet will start to download.

Complete the template

Once the template has downloaded, open it in excel and edit the desired events in the spreadsheet.

Each line represents a single event that will be assigned a missed reason. The first column is for the Visit (Event) id which can be found on the event index page. The second column is a selection of the active Missed Reasons that have been set up in the global admin section.

Once you have assigned a missed reason to all the events you want, save the file. You will want to make sure it is saved in UTF-8.csv format to complete the next step.

Upload

To upload the template back into the system, head back to your internet browser and click Continue.

You will be brought to a page where you can choose the file you just updated and select it for upload.

Click Conduct Test for the system to check the file for errors. If there are any errors, such as an invalid event id or using an event that is at an invalid status, the system will provide a warning.

Confirm upload

If there are no errors you click Complete Import and the events will be updated in the system.

You can repeat this process for each client site as needed.

Remove Missed Reasons Tool

Found that you’ve got some Missed Reasons that you need to get rid of? We’ve got a tool for that too.

The Client Remove Missed Reason tool can be used by administrators to quickly remove a missed reason for events under a parent program (client block). This tool allows you to bypass having to manually remove a missed reason for each event, and instead provides an excel template that can be filled out and then uploaded to update multiple events under a parent program at once.

Find It

Click on the Global button on your navigation bar and then navigate to the correct client tile. Once in the client site of choice, click on Tools and then Remove Missed Reason on the navigation bar.

Download the template

You will be brought to a page where you can download the template. Click Download Template and a pre-populated excel spreadsheet will start to download.

Edit the Template

Once the template has downloaded, open it in excel and edit the desired events.

Each line represents a different event that has an assigned missed reason. The first column is for the Visit (Event) ID, which can be found on the event index page. The second column will have an “X” for each event that has a current missed reason. If you remove the “X” from the row, that event will return to it’s last status.

Once you have removed the missed reasons from all the events you want, save the file. Make sure it is saved in UTF-8.csv format in order to complete the next step.

Upload

To upload the template back into the system, navigate back to your internet browser and click continue. You will be brought to a page where you can choose the file you just updated and select it for upload.
